• Network Certificate Tab — Upload PFX + password. Saved in Gravixia (Standard) or your org cloud (Enterprise).
• Local Certificate Tab (Desktop Only) — Select USB, Smart Card, or Cert Store. Choice remembered, auto-picked next time.
• Cloud Certificate Tab — Configure Azure Key Store (URL + Cert Name) or AWS AMS (Region + URL). Saved for future use.

USB Token passwords are never stored by Gravixia — managed by your OS.

Storage & Data Sovereignty

Gravixia stores 3 artifact types: documents, signature images (JPEG), digital certificates (PFX).

Enterprise destinations: OneDrive, Google Drive, Dropbox, SharePoint Standalone. Gravixia acts as a processing layer only — never retains files. Meets GDPR and banking regulations.

Uploading

Use Browse File or drag and drop. Supports DOCX, XLSX, PPTX. Invalid files (.exe) rejected. Large files show progress bars.

Available Actions

• OPEN FILE — opens in Track Changes mode (you're the creator)
• Add Reviewer — opens Add Reviewer page
• Sign — converts to PDF, opens Signature Information page

Progress Tracking

Total Count, In Progress Count, and Completed Count are displayed. Collaboration is marked complete when signing begins or reviewer status is set to "Completed."

Add Reviewer Page

Click Add Reviewer → fill in Name, Organization, Email, then set the Reviewer Role:

• Full Access — can edit the document in Track Changes mode
• Read Only — can only view the document

You can edit, delete, and reorder reviewers. Enable "Send Email in Sequence" for ordered delivery. Full Access reviewers get an edit URL; Read Only reviewers get a view URL.

Document Editing & Track Changes

Documents open in a SharePoint-based editor with Track Changes enabled. Features include:

• Multi-party editing — multiple users edit simultaneously
• Accept/Reject changes individually
• Conflict handling for simultaneous edits
• Version History — view, compare, and revert

Signature Page

Upload DOCX, XLSX, PPTX, or PDF. Non-PDF files are auto-converted to PDF. PDF with form fields also supported. Available actions: Add Signatory and Sign. Progress shows Total, In Progress, and Completed counts.

Placing Signatures

Three preset slots: Signature 1, 2, 3. Click the button, then click on the document to place. All placed signatures can be moved, resized, and deleted.

Additional Elements

• Timestamp — place current date/time on document
• Free Text — editable text box, movable and resizable
• Stamp — place a stamp image

Signature Settings Dialog

Draw your signature, add text (Name, Company, Designation). Combine into a preset saved as Signature 1, 2, or 3.

Save Behavior

• Creator saves → signature saved, Add Signatory page opens
• Signatory saves → confirmation page. If all signed, Gravixia counter-signs and emails download link to everyone.
• Self Sign (Creator Only) → immediate completion. Gravixia counter-signs. Download link emailed. Button is disabled for non-creator signatories.

Certificate Options

• Server Certificate — Gravixia's free auto-generated certificate. Created on first use.
• Network Certificate — Your uploaded PFX certificate.
• Local Certificate (Desktop Only) — USB Token, Smart Card, Certificate Store. Remembered from Settings. Password prompted each time.
• Cloud Certificate — Azure Key Store or AWS AMS. Configured via Settings.

Validation Tools

• Validate Document — check authenticity
• Validate Signature — verify specific signature
• List Signatures — all signatures with validity status

Save & Self-Sign work identically to the Handwritten page. Gravixia counter-signs with AATL certificate when all complete.

Add Signatory Page

Click Add Signatory → fill Name, Organization, Email, then set role:

• Signer — can sign the document
• Reviewer — view in read-only mode

Edit, delete, and reorder signatories. Enable sequential email sending. Only document creators can add signatories — this action is disabled on the Team Dashboard.

Bulk Signing

Use {{Sig1}} placeholders in Word templates for smart placement. API: POST /api/v1/bulk-sign. Enterprise Plan required. Add-on: $0.99/document.

My Dashboard

The document creator's central hub showing all documents you created. Displays Review Pending, Review Completed, Signature Pending, and Signature Completed counts with PIE Chart and STACK Chart visualizations. Right-click the document grid for: Open Doc, Add Reviewer, Add Signatory, and Sign.

Team Dashboard

For reviewers and signatories — shows all documents assigned to you. Same charts and counts as My Dashboard. Add Signatory is disabled — only creators can add.

User Profile & Account

Account Overview: Name, Email, Member Since. Personal Info: Phone Number is editable; all else is read-only. Organization: Company, Industry, Department, Role, Address — all editable. Subscription: Active plan, price, renewal status, and top 10 subscription history.
